Most owners we talk to have the same two feelings about AI: they are sure it could save them time, and they have no idea where to start. An audit is how we replace the guessing with a list.
Step 1: Follow the hours
We interview you and one or two people who do the daily work. We are not asking about AI. We are asking what they did yesterday, what they do every Monday, and what they put off because it is tedious. Quoting, follow-ups, scheduling, data entry between two systems, writing the same email fifty different ways. That is the raw material.
Step 2: Price the repetition
Each repetitive task gets an estimate of hours per week and who does it. Multiply by what that person’s time is worth and you have a number. Most businesses find two or three tasks that cost more than a thousand dollars a month in labour. Those go to the top of the list.
Step 3: Sort by risk
Not everything should be automated. We split the list into three buckets:
- Automate fully. Low stakes, high volume, easy to check. Drafting appointment reminders, categorizing inbound email, pulling data from PDFs into a spreadsheet.
- Assist, with a human approving. Higher stakes. Quotes, proposals, customer replies, anything that goes out under your name.
- Leave alone. Legal, medical, financial, or anything where a mistake is expensive and rare enough that the automation would never pay back its own testing.
Step 4: Pick the tools honestly
Sometimes the right answer is a feature already inside software you pay for. Sometimes it is an off-the-shelf tool for thirty dollars a month. Sometimes it is a custom build. We tell you which, with real prices, and we will say when the answer is “do not buy anything”.
What you get
A written roadmap: the ranked list, the estimated savings, the recommended tool for each, and a suggested order. You can hand it to any developer. Most clients hire us to build the first item, but the document stands on its own.
